Users, Roles, and Permissions
This guide outlines the steps for managing users, roles, and permissions within the News Suite platform.
Managing Users
Section titled “Managing Users”Step 1: Access the Users Page
Section titled “Step 1: Access the Users Page”- Navigate to the Administration section in the left-hand sidebar.
- Select Users & Roles.
- The Users page displays a list of existing users along with their roles, status, MFA (Multi-Factor Authentication), creation date, and last login.
Step 2: Create a New User
Section titled “Step 2: Create a New User”-
Click the Create user button in the top-right corner.

Fill in the following details:
- Full Name: Enter the user’s full name.
- Mobile: Add the user’s mobile number (optional).
- E-mail: Provide the user’s email address.
- Role: Assign a role from the dropdown (e.g., Journalist, Manager).
- Account Status: Set the account to Active or Inactive.
- Login and Password: Define the user’s login credentials.

Configure Conditional Access:
- For each listed access type, you can specify one of two options:
- Inherit: this is the default choice. It will apply the same permissions defined for the user’s role. With this option, you can choose to give the user access to additional objects by adding them in the input field under.
- Allow access to all: override role permissions and give access to all the objects of this type.

Configure Workflow Configuration:
- Similar to Condition Access, you can specify two settings:
- Allow access to defines whether the user can access content when it has one of the selected statuses
- Send to defines whether the user can change the status of content to one of the selected statuses.
- This check happens in order after the Conditional Access checks.

Once all fields are complete, click Create user.
Managing Roles
Section titled “Managing Roles”Step 1: Access the Roles Page
Section titled “Step 1: Access the Roles Page”- Under Users & Roles, switch to the Roles tab.
- The Roles page lists all roles and the number of active users in each role.
Step 2: Create a New Role
Section titled “Step 2: Create a New Role”-
Click the Create role button.

Fill in the role details:
- Name: Enter the role name.
- Conditional Access:
- Configure access for Publications, Categories, Social Channels, Pages, etc.
- Workflow Configuration: Specify default content statuses and workflow permissions.

Configure Permissions:
- Use the permissions table to set specific capabilities for the role, such as:
- Editing and Publishing Content
- Managing Users
- Accessing Analytics
- Administering Social Channels
- Permissions are grouped into categories for easier navigation.

Click Create role to save the role.
Editing or Deleting Users and Roles
Section titled “Editing or Deleting Users and Roles”Edit Users
Section titled “Edit Users”- On the Users page, click on the name of the user you want to edit.
- Modify the user’s details, access rights, or workflow configuration.
- Save changes by clicking Update user.
Edit Roles
Section titled “Edit Roles”- On the Roles page, click on the name of the role you want to edit.
- Adjust permissions or access settings as needed.
- Save changes by clicking Update role.
Delete Users or Roles
Section titled “Delete Users or Roles”- To delete a user, click on the user’s name and select Delete user.
- To delete a role, click on the role’s name and select Delete role.
Best Practices for User and Role Management
Section titled “Best Practices for User and Role Management”- Regularly review roles and permissions to ensure compliance with organizational policies.
- Use MFA (Multi-Factor Authentication) for enhanced security.
- Assign roles that align with job responsibilities to minimize unnecessary access.
- Periodically audit inactive users and remove them to maintain an up-to-date user database.
